Salary Range: $73,391 - $75,696 per annum pending experience

Tenure: Full Time, Permanent

Townsville Catholic Education is currently seeking an experienced and dedicated administration professional to support the Director for School Improvement Services and Facilities Administrator.

With a focus on high level customer service and confidential administrative support, this role will see you performing a full range of secretarial and administrative support functions to ensure the smooth delivery of services across both Directorates.

Key Accountabilities

  • Assist with the coordination and project management of QCEC Block Grant Authority (BGA) submissions and self-funded projects, ensuring adherence to deadlines, documentation standards, and reporting requirements.
  • Maintain grant tracking spreadsheets and support with building openings.
  • Liaise with external stakeholders such as the Non-State Schools Accreditation Board (NSSAB) and the Queensland Catholic Education Commission (QCEC), ensuring compliance with their guidelines and requirements as part of the School Improvement Services operations.
  • Manage electronic diaries, schedule meetings, and liaise with internal and external stakeholders.
  • Organise professional development events, including travel, accommodation, and logistics. 
  • Oversee fleet vehicle compliance and servicing.
  • Contribute to maintaining and updating the TCEO/Principal Calendar.
  • Process purchase orders, expense claims, and funding reimbursements.
  • Support budget planning and financial reporting.
  • Ensure accurate record-keeping and reporting.
  • Maintain quality systems and upload documents to Sharehub.
  • Provide secretariat support to committees.
  • Support general administrative tasks and internal communications, including newsletters via MailChimp

About you

  • Demonstrated experience with the provision of focused and professional administrative, and secretariat support at a high level
  • Previous experience handling enquiries and responding with professionalism and sensitivity to requests for information and complaint management
  • Previous experience displaying professional and effective interpersonal, communication and liaison skills with both internal and external stakeholders
  • Experienced user in Microsoft Office applications (particularly Excel and Word), Google applications and database administration
  • Conference and event organisation and associated protocols including catering and travel logistics
  • Knowledge and ability to operate with a high degree of discretion and confidentiality in the performance of all duties
  • Demonstrated ability to work under pressure and manage multiple tasks

Mandatory Criteria

  • Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by the Queensland Government
  • Current Driver’s Licence
  • Ability to travel from time to time within the Catholic Diocese of Townsville
  • Ability to perform the physical requirements of the role in a safe manner
