About the role
Mary Help of Christians Catholic College, Shaw is seeking a dedicated and experienced School Officer - Administration to join our team of dedicated staff. Part time, term time , permanent role completing 30 hours per week, commencing 16 June 2025.
The role of School Officer - Administration is responsible for providing high level administrative support demonstrating a high level of self-initiative, flexibility, attention to detail, autonomy and dependability.
The School Officer - Administration will be required to liaise with students to the College. The incumbent will present a professional image and create a welcoming, warm and positive impression. As the initial point of contact for many key stakeholders, the School Officer - Administration will deliver high quality customer service. Townsville Catholic Education has standards of conduct for workers to maintain a safe and healthy environment for children. Our commitment to these standards requires that we conduct working with children checks and background referencing for all persons who will engage in direct and regular involvement with children and young people and/or adults-at-risk. Key Accountabilities
- Support the delivery of operational tasks associated with reception and administration including:
- Oversee student reception
- Provide support to parent reception
- Mail management and distribution
- Provide timely and accurate response to incoming telephone and email enquiries
- Coordinate and direct enquiries of parents, visitors and contractors as necessary
- Data entry to support the compliance and accuracy registers and record management.
- Provide administration support that meets the day to day requirements of the school including:
- Assist in the dissemination of information to staff and students
- Assist in the production of internal and external documents – letters, registers, spreadsheets
- Sort, prepare and file documents as required
- Ensure documents are adequately filed in accordance with school systems and processes
- Assist with ordering and receipting of items
- Administration support to the Principal and Leadership team as required
- Support the delivery of tasks associated with school events including the production of event supplies and merchandise
- Administer medication as required and first aid where necessary
- Monitor inventory for stationery and first aid supplies
- Assist with financial and banking duties as requested
- Any other duties as reasonably requested to support the functionality of the college
Mandatory Criteria
• Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government
• Minimum certificate level or higher qualification or equivalent relevant experience
• Ability to travel from time to time within the Catholic Diocese of Townsville
• Ability to perform the physical requirements of the role in a safe manner.
Desirable Criteria
• Certificate in Business Administration
• Previous experience in the education field would be considered advantageous.
