Townsville Catholic Education supports a diverse region extending from Townsville to the Burdekin and Whitsunday regions in the South, North to Ingham and Halifax, South-West to Winton, and West to the border with the Northern Territory, encompassing Mount Isa and several small, isolated western towns and east to Palm Island.
Townsville Catholic Education is currently seeking an Administration Assistant - Religious Education to provide support the Catholic Identity Team. This is a Full Time, Permanent position commencing as soon as practicable.
About the role
The primary responsibility of the role is to provide timely and efficient coordination and administrative support to the Catholic Identity Team. The Administration Assistant performs a full range of secretarial and administrative support functions, including prompt, courteous and effective communication with internal and external stakeholders, to ensure the smooth and functional deliver of services from the Catholic Identity Team.
The Administrative Assistant will require high levels skills with the ability to prioritise the work demands from each of the Religious Education Advisers and System Learning and Teaching Adviser – Religious Education.
Key Accountabilities
- Provide general administrative support with a high level of autonomy to manage daily workloads and requests from the Catholic Identity Team
- Coordinate requests for information and documentation and act as a first point of contact for enquiries on behalf of the Catholic Identity Team
- Manage the electronic diaries of RE Advisers and SLTAs, including scheduling, negotiating appointments and meetings by liaising with TCEO, schools, and other parties in scheduling of appointments
- Proficiently utilise information systems (such as G Suite) and rapidly acquire demonstrated proficiency in the application of information systems
- Prepare professional learning resources as required for the Catholic Identity Team
- Coordinate travel requirements for members of the Catholic Identity Team, APREs and TCE staff attending professional development
- Coordinate fleet vehicle compliance and servicing requirements for RE Advisers’ vehicles
- Coordinate the TCEO/School Calendar and regularly update throughout the year with a commitment to accuracy and compliance
- Provide administrative support for APRE Cluster meetings, Chaplaincy meetings, Spirituality Formation Retreats and RE Professional Learning workshops
- Support professional and spiritual development events by booking flights and accommodation, preparing and distributing agendas and relevant materials, booking venues, organising onsite and offsite catering, setting up and cleaning up venues
- Prepare professional learning resources and administrative material
- Maintain TCE iCHRIS register and registration of staff professional development and accreditation hours
- Set up media equipment, teleconferencing and video conferencing connections
- Complete purchase orders through the TCEO Tech One platform including expenses claims from the Catholic Identity Team
- Support the Director – Catholic Identity and Indigenous Education Services in preparing the yearly budget for the directorate and other financial reporting requirements as directed
- Provide timely and professional communication with external parties including the office of the Bishop, schools, venues, and other stakeholders
- Coordinate, maintain and store records (both electronic and hardcopy) in an accurate, timely, confidential manner, and produce reports from the electronic data as required
- Manage the TCE RE website
- Ensure information produced and displayed for school access reflects accuracy and currency
- Undertake other tasks as reasonably instructed by the Director or Advisers. This role is part of the wider TCEO Administrative Team and as such there is a requirement to provide assistance to the reception function from time to time to other teams in the office.

- Ability to travel from time to time within the Catholic Diocese of Townsville
- Ability to perform the physical requirements of the role in a safe manner.
